Email Communication Policy

This Email Communication Policy explains the categories of email Book GCC Trip sends, which ones are essential to delivering your booking and cannot be opted out of, which are marketing and can be, and how to recognise and report an email that falsely claims to be from us.

It works alongside our Marketing Consent Policy, which governs consent and opt-out for marketing email specifically, and our Privacy Policy, which explains how we handle your personal data, including your email address, more generally.

1. Two Categories of Email

"Transactional or Essential Email":
email necessary to deliver a booking you have made or an account/support interaction you have started — booking confirmations, payment receipts, itinerary or cancellation changes, and support responses. These cannot be opted out of while you have an active account or booking, because we need to be able to reach you about it.
"Marketing or Promotional Email":
promotional offers, destination inspiration, and newsletters. These are sent only to guests who have opted in — see our Marketing Consent Policy for how consent and opt-out work.

2. Transactional and Essential Email

Transactional and essential emails cover the core of using Book GCC Trip: booking confirmation, payment receipt, cancellation or refund confirmation, itinerary or booking-detail changes, password reset and account verification, and replies from our support team to a query you raised. These are sent because they are how we confirm what you have asked us to do or respond to a request you made, and they cannot be disabled while you have an active account or booking with us.

3. Marketing and Promotional Email

Marketing emails — promotional offers, destination inspiration, and newsletters — are sent only to guests who have opted in, and every marketing email includes an unsubscribe link that takes effect for future sends on that channel. See our Marketing Consent Policy for how opt-in and opt-out work, and how withdrawing marketing consent does not affect the transactional email described in Section 2.

4. Email Frequency

Transactional and essential emails are sent as needed, tied to the specific booking or request they relate to — there is no fixed schedule. Where you have opted in to marketing email, we aim to keep the frequency reasonable and relevant to you rather than sending at a fixed high volume; the actual number of marketing emails you receive in a given period can vary with active promotions and your own preferences. You can reduce or stop marketing email entirely at any time as described in our Marketing Consent Policy.

5. Keeping Your Email Address Accurate and Secure

You are responsible for keeping the email address on your account accurate and for maintaining the security of that email account, since it is our primary channel for sending you booking confirmations, security notices, and support responses. If you no longer have access to the email address on your account, update it as soon as possible or contact Customer Support for help, particularly if you have an active or upcoming booking.

6. What We Will Never Ask For By Email

Book GCC Trip will never ask you, by email, to reply with or enter your full card number or your account password. Genuine payment collection happens through our payment service provider's own secure checkout page, never by emailing card details to us or to a member of our team.

7. Recognising a Phishing or Impersonation Email

Emails genuinely sent by Book GCC Trip come from a bookgcctrip.com sending domain. Treat an email with caution, and do not click links or provide information, if it:

  • asks you to reply with your full card number, CVV, or account password;
  • creates unusual urgency about an active booking, payment, or account suspension;
  • links to a website whose address does not clearly belong to bookgcctrip.com; or
  • comes from a sending domain other than bookgcctrip.com despite claiming to be from us.

8. Reporting a Suspicious Email

If you receive an email you believe is impersonating Book GCC Trip, do not click any links or provide any information. Forward it, or a description of it, to support@bookgcctrip.com so we can investigate and warn other guests if needed.
