Terms and Conditions

Effective date: 1 August 2026  ·  Last updated: 6 August 2026
Policy Version 1.0  ·  Policy Owner: Book GCC Trip

These Terms and Conditions ("Terms") are the master agreement between you and Book GCC Trip. They govern every visit to our website and app, and every hotel booking you make through us. By creating an account, browsing past our homepage, or completing a booking, you accept these Terms in full.

These Terms work alongside — not instead of — our other policies, in particular our Privacy Policy, Cancellation & Refund Policy, Payment Policy, Taxes & Fees Disclosure, Price Accuracy Policy, and Hotel Booking Terms. Where a more specific policy addresses a topic in more detail, that policy applies together with these Terms; if the two genuinely conflict on a specific point, the more specific policy controls for that point.

1. Definitions

"Book GCC Trip", "we", "us", "our":
the Book GCC Trip booking platform and the business operating it (see Section 4).
"you", "your", "Guest":
the individual creating an account, browsing, or completing a booking through Book GCC Trip.
"Platform":
the Book GCC Trip website, mobile-optimised site, and any associated apps or interfaces.
"Hotel", "Property", "Supplier":
the accommodation provider, or the wholesaler/channel partner supplying that accommodation's availability and rates to us, whose rooms are listed and bookable on the Platform.
"Booking":
a confirmed reservation for accommodation made through the Platform, evidenced by a booking confirmation and voucher.
"Total Price":
the full amount payable online at the time of booking, made up of the base room rate plus any taxes and fees we include in the online total — see Section 9.
"Property-Payable Charges":
mandatory charges (such as certain tourism or municipality fees) that are disclosed to you before booking but are collected by the hotel directly at check-in or check-out, not included in the Total Price.

2. Eligibility and Minimum Age

You must be at least 18 years old and have the legal capacity to enter into binding contracts to create an account or make a booking on Book GCC Trip. By using the Platform you confirm you meet this requirement. A booking made for the benefit of another person (for example, a family member or colleague) must still be made and paid for by an eligible adult who accepts these Terms on that traveller's behalf.

Some hotels apply their own minimum check-in age or require a lead guest above a certain age at check-in — this is disclosed on the hotel or rate page where it applies, and forms part of the Hotel-Specific Conditions described in Section 7.

3. Acceptance of These Terms

You accept these Terms the moment you create an account, submit a booking, or otherwise use the Platform beyond browsing our public pages. If you do not agree to these Terms, do not create an account and do not complete a booking.

We may update these Terms from time to time as described in Section 40. Continued use of the Platform after an update takes effect constitutes acceptance of the updated Terms; if you do not agree with an update, your remedy is to stop using the Platform — updates do not apply retroactively to a booking you already confirmed.

4. Book GCC Trip’s Role and Who Operates This Site

Book GCC Trip is operated by TESSMA Destination Services FZ-LLC, a company licensed in Ras Al Khaimah, United Arab Emirates.

Book GCC Trip is not a separate legal entity from its operator — it is the public brand and platform through which the operator offers hotel booking services to consumers across the GCC. Every reference to "Book GCC Trip", "we", "us" and "our" in these Terms and in our other policies means the operator acting under this brand, unless the context requires otherwise (for example, where a document expressly needs to name the operator for invoicing or regulatory purposes).

Book GCC Trip operates a booking platform that connects you with hotels and their available rooms and rates. We are not a hotel, and we do not own, manage, or physically operate any of the properties listed. Our role is to: (a) show you accurate, up-to-date hotel information, availability and pricing; (b) let you search, compare, and book accommodation; (c) collect payment for your booking through our payment service provider(s), on behalf of the hotel, as described in Sections 10–12; and (d) provide customer support before, during and after your stay.

5. Relationship With Hotels and Suppliers

Hotels and, where applicable, wholesale or channel-manager suppliers provide us with room availability, rates, and property information, which we display on the Platform. We take reasonable steps to keep this information accurate and current, and our Price Accuracy Policy sets out what happens if a genuine error is found before your payment completes.

The hotel remains the accommodation provider and is responsible for the physical property, the standard of the stay, and honouring the booking you have made. Book GCC Trip is responsible for the accuracy of what we represent to you on the Platform, for correctly processing your booking and payment, and for our own conduct as described throughout these Terms — see Sections 29–31 for how responsibility is divided in more detail.

6. Formation of a Booking

A booking is formed, and becomes binding on you and the hotel, once (a) you have completed checkout, (b) your payment has been successfully authorised and captured, and (c) we issue a booking confirmation and voucher to the email address on your account. A booking request that fails at any of these steps (for example, a declined payment) does not create a binding reservation.

Your booking confirmation and voucher set out the hotel, dates, room type, occupancy, meal plan (if any), Total Price, and the cancellation status that applies to your booking (see Section 14). Keep your voucher — it, together with these Terms and our other policies, forms the full record of your booking with us.

7. Hotel-Specific Conditions

Each hotel may apply its own house rules and conditions in addition to these Terms — for example, minimum check-in age, ID or passport requirements at check-in, a refundable security deposit charged directly by the hotel, smoking policies, pet policies, or extra-bed/cot availability. These conditions are shown on the hotel or rate page before you book, and by completing a booking you agree to comply with them during your stay.

Hotel-specific conditions form part of your booking alongside these Terms. Where a hotel condition would require you to pay an amount not disclosed to you before booking, you are entitled to decline that additional charge and raise it with us as a complaint under our Complaint Handling Procedure.

8. Guest and Occupancy Information

You are responsible for providing accurate guest names, contact details, and occupancy information (number of adults and children, and children's ages where relevant) at the time of booking. Hotels price and allocate rooms based on this information, and an inaccurate occupancy count can result in the hotel charging an additional amount directly, refusing early check-in, or in rare cases refusing check-in altogether.

If your travel party or occupancy changes after booking, contact us as soon as possible — see Section 13 (Amendments). Do not simply arrive with a different party size and expect the original rate and room to apply automatically.

9. Prices, Taxes and Mandatory Fees

The Total Price shown at checkout is the full amount you pay online for your booking, made up of the base room rate plus any taxes and fees we include in that online total. Where a mandatory charge is instead collected by the hotel directly (a Property-Payable Charge — for example certain UAE tourism or municipality fees), it is clearly itemised as payable at the hotel and is never silently folded into the Total Price or hidden behind an extra click.

Our Taxes & Fees Disclosure and Price Accuracy Policy explain this breakdown, and how we keep the Total Price consistent with the price shown to any distribution partner, in more detail.

Where applicable, your invoice will show Value Added Tax (VAT) together with our Tax Registration Number (TRN). Our corporate tax registration is currently under review with the relevant UAE authority. Hotel-charged taxes and fees not included in the Total Price (municipality fees, tourism dirham, and similar) are set by each hotel and disclosed to you before you complete a booking.

10. Currency Conversion and Bank Charges

Prices are displayed and charged in the currency shown at checkout. If your card or bank account is denominated in a different currency, your card issuer or bank will convert the charge at its own applicable exchange rate, and may apply its own currency-conversion fee or foreign-transaction fee. We do not control, and are not responsible for, exchange rates or fees applied by your bank or card issuer.

11. Payment Authorisation and Payment Failure

By submitting a booking, you authorise us to charge the Total Price to the payment method you provide, using our payment service provider(s), on behalf of the hotel. You confirm that you are authorised to use the payment method provided and that the information you give us is accurate.

If your payment is declined, fails authorisation, or is reversed by your bank for any reason before a booking is confirmed, no booking is created and no accommodation is reserved. We may, at our discretion, allow a further payment attempt, but availability and price are not guaranteed to remain the same as your original attempt.

12. Booking Confirmation and Voucher

Once payment is successfully processed, we issue a booking confirmation and voucher by email. This voucher is your primary proof of booking and should be presented (in print or on your device) at check-in if requested by the hotel. If you do not receive a confirmation within a reasonable time after payment, contact us immediately — do not assume the booking failed and pay again, as this can result in a duplicate charge.

13. Amendments

Date, room type, or guest-count changes to an existing booking are treated as a new booking request against the hotel's current availability and rate, and are not guaranteed. Depending on the hotel and rate, making a change may require your original booking to be cancelled first, in which case Section 14 (Cancellation) applies to the original booking.

To request an amendment, contact us as early as possible — availability and pricing for the requested change can move quickly, and some hotels do not permit changes to certain rate types at all.

14. Cancellation

All bookings made through Book GCC Trip are non-refundable as a platform policy, regardless of any cancellation window, "free cancellation" label, or refundable/flexible description that may otherwise be associated with a room rate elsewhere on the Platform or by the hotel. This platform policy determines what Book GCC Trip itself will refund for a booking made through us, and applies from the moment your booking is confirmed.

You may still cancel a booking at any time from My Bookings or by contacting Customer Support — cancelling stops the reservation and, where relevant, notifies the hotel — but cancelling does not by itself entitle you to a refund. Our full Cancellation & Refund Policy explains the two narrow exceptions where a refund may be approved, and how to request one.

We strongly recommend considering independent travel insurance to cover cancellations, changes of plan, or travel disruption not covered by the exceptions in our Cancellation & Refund Policy.

15. No-Show and Early Departure

If you do not arrive for a confirmed booking ("no-show") or check out earlier than your booked departure date, the booking remains subject to the non-refundable policy described in Section 14 — a no-show or early departure does not create a refund entitlement on its own. See our Cancellation & Refund Policy for full detail and the narrow exceptions that may apply.

16. Refund Process and Timing

Where a refund is approved under one of the two exceptions described in Section 14 and our Cancellation & Refund Policy (Force Majeure or Hotel Permanent Closure), the refund is returned to your original payment method. Our own review of an exception request is typically completed within 24–48 hours of receiving your documentation; once approved, your bank or card issuer may take additional time — commonly around 5–10 business days — to post the funds to your account. That additional time is your bank's processing time, not ours.

17. Hotel Deposits and Property-Payable Charges

Some hotels require a refundable security deposit, or collect certain charges (such as tourism or municipality fees) directly from you at the property, separate from the Total Price you pay to us. These Property-Payable Charges are disclosed before you book and are the hotel's to collect and, where refundable, to return — Book GCC Trip does not hold, and cannot refund, amounts a hotel collects directly.

18. Hotel Refusal, Relocation and Overbooking

In rare cases a hotel may be unable to honour a confirmed booking (for example, due to overbooking or an operational issue) and may relocate you to a comparable or better property at no extra cost, or decline check-in. If a hotel cancels or refuses a confirmed booking through no fault of yours, you are entitled to a full refund of amounts already paid to us for that booking — this is treated the same as a hotel-initiated cancellation under our Cancellation & Refund Policy, and is separate from the general non-refundable policy in Section 14, which governs guest-initiated cancellations.

19. Supplier Failure

If a hotel or supplier becomes unable to provide a confirmed booking for reasons beyond anyone's control (for example, insolvency or unexpected permanent closure), we will make reasonable efforts to help you find comparable alternative accommodation and, where the Hotel Permanent Closure exception in our Cancellation & Refund Policy applies, to process a refund of amounts paid to us. Our ability to assist may be limited where the failure originates entirely with a third-party supplier outside our control.

20. Obvious Pricing or Content Errors

Occasionally a price, room description, or availability shown on the Platform may contain a genuine, obvious error (for example, a rate that is clearly a fraction of the real market rate due to a data or currency error). Our Price Accuracy Policy explains how we identify and handle these errors, including that a booking will not be completed at an obviously erroneous price without first showing you, and obtaining your acceptance of, the corrected price.

21. Guest Conduct and Hotel Rules

You agree to comply with the hotel's house rules during your stay, to treat hotel staff and other guests respectfully, and to be responsible for any damage you or your party cause to the property, which the hotel may charge you for directly. Serious misconduct may result in the hotel ending your stay in accordance with its own policies and applicable law.

22. Group and Suspicious Bookings

We may apply additional verification, limits, or manual review to bookings that appear unusually large, are made in rapid succession, or otherwise show signs of being a group booking made through our standard individual-guest checkout rather than a proper group-booking arrangement. We may decline, delay, or request further information for such bookings before confirming them.

23. Fraud Prevention

We use automated and manual checks to detect fraudulent bookings and payment fraud. We may decline a booking, request additional verification, or place a hold on a booking pending review where our fraud-prevention checks flag a concern. We may also cancel a booking obtained through fraudulent means (for example, a stolen card) at any time and take any lawful action available to us, including reporting the matter to relevant authorities.

24. Account Security

You are responsible for keeping your account credentials confidential and for all activity that occurs under your account. Notify us immediately at support@bookgcctrip.com if you believe your account has been accessed without your authorisation. We may suspend an account showing signs of compromise while we investigate, to protect you and the Platform.

25. Platform Availability

We aim to keep the Platform available and functioning correctly, but we do not guarantee uninterrupted or error-free access. The Platform may be unavailable from time to time for maintenance, updates, or reasons outside our control. We are not liable for losses caused solely by temporary unavailability of the Platform, except where such liability cannot lawfully be excluded.

26. Third-Party Content and Links

The Platform may display content sourced from hotels, suppliers, or other third parties (such as property photos, descriptions, or reviews), and may link to third-party websites we do not control. We take reasonable steps to ensure third-party content shown on the Platform is accurate, but we are not responsible for the content, accuracy, or availability of external websites we merely link to.

27. Intellectual Property

The Book GCC Trip name, logo, platform design, and original content are the intellectual property of the operator and/or its licensors, protected under applicable UAE and international intellectual property law. See our Intellectual Property Policy for full detail on permitted and prohibited use.

28. User Restrictions

You may not use the Platform to: make fraudulent bookings; scrape, harvest, or systematically extract data from the Platform; reverse-engineer, decompile, or attempt to access the Platform's underlying systems without authorisation; interfere with the Platform's normal operation; impersonate another person; or use the Platform for any unlawful purpose. See our Acceptable Use Policy for the full list of prohibited conduct.

29. Disclaimers

We provide the Platform and our booking service on an "as available" basis. While we take reasonable care to keep hotel information, pricing, and availability accurate and up to date, we do not guarantee that every detail supplied to us by a hotel or third-party data partner is free of error at every moment — see our Price Accuracy Policy for how we handle genuine errors. This disclaimer does not limit our responsibility for our own representations made knowingly or recklessly, or for anything that cannot lawfully be disclaimed under UAE law.

30. Liability Limitations to the Maximum Extent Lawful

To the maximum extent permitted by applicable law, Book GCC Trip is not liable for indirect, incidental, special, or consequential losses arising from your use of the Platform or a booking made through it — for example, lost enjoyment of a trip, lost business opportunities, or losses arising from a hotel's own act or omission during your stay that is outside our control. This limitation applies only to the extent the law allows it; see Section 31 for what cannot be excluded.

31. Liability That Cannot Legally Be Excluded

Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited under UAE law or other applicable mandatory consumer-protection law, including liability for fraud, wilful misconduct, or gross negligence on our part, and your statutory rights as a consumer. Where a provision of these Terms would otherwise exclude such liability, that provision is limited only to the extent the law permits, and no further.

32. User Indemnity Where Lawful

Where permitted by applicable law, you agree to indemnify Book GCC Trip against reasonable losses, costs, and claims arising directly from your breach of these Terms, your unlawful use of the Platform, or your violation of a hotel's rules during your stay, except to the extent the loss, cost, or claim was caused by our own act or omission.

33. Force Majeure

Neither you nor we are liable for a failure or delay in performing an obligation under these Terms where that failure or delay is caused by an event beyond that party's reasonable control (such as natural disaster, war, government action, pandemic, or widespread infrastructure failure). See our Force Majeure Policy for more detail, including how this interacts with the Force Majeure refund exception in Section 14.

34. Complaints and Dispute Resolution

If something goes wrong, contact us first at support@bookgcctrip.com so we can try to resolve it directly — most issues are resolved faster this way than through a third party. Our full Complaint Handling Procedure sets out how a complaint is logged, escalated, and resolved, including realistic response-time expectations. This does not affect your right to raise a complaint with a relevant UAE consumer-protection authority, or to pursue the dispute-resolution routes described in Section 35.

35. Governing Law and UAE Jurisdiction

These Terms are governed by the laws of the United Arab Emirates. Subject to any mandatory consumer-protection rights you may have to bring proceedings in your home jurisdiction, the courts of Dubai have exclusive jurisdiction over any dispute arising from these Terms or a booking made through Book GCC Trip.

36. Severability

If any provision of these Terms is found by a competent court or authority to be invalid or unenforceable, that provision is severed and the remaining provisions continue in full force and effect, interpreted as closely as possible to the original intent of the severed provision.

37. Waiver

Our failure to enforce a provision of these Terms on any occasion does not waive our right to enforce it later. A waiver is only effective if given by us expressly and in writing.

38. Assignment

You may not transfer or assign your rights or obligations under these Terms without our prior written consent. We may assign these Terms, in whole or in part, in connection with a merger, acquisition, restructuring, or sale of assets, provided the assignee agrees to honour existing confirmed bookings.

39. Entire Agreement

These Terms, together with the other policies referenced throughout (in particular our Privacy Policy, Cancellation & Refund Policy, Payment Policy, Taxes & Fees Disclosure, and Hotel Booking Terms), constitute the entire agreement between you and Book GCC Trip regarding your use of the Platform and any booking made through it, and supersede any prior understanding on the same subject.

40. Changes to These Terms

We may update these Terms from time to time to reflect changes in our service, legal requirements, or business practices. We will update the "Last updated" date above when we do, and for material changes we will take reasonable steps to bring them to your attention (for example, a notice on the Platform or an email). Continued use of the Platform after an update takes effect constitutes acceptance of the update.

41. Notices and Contact Details

Notices to us should be sent to support@bookgcctrip.com or +971 54 288 5615 (Support Manager: Abbas Jalbani), during our support hours of 09:00–18:00 UAE time. We will send notices to you at the email address on your account.

42. Language and Interpretation

These Terms are provided in English. Support is currently provided in English; Arabic-language support is planned for a future phase. If these Terms are ever translated into another language, the English version prevails in the event of any inconsistency.
