This policy explains, in plain terms, what happens when you cancel a booking made through Book GCC Trip, and the only two circumstances in which a refund may be approved. This is the single most important policy to read before you book — please read it in full before completing payment, not after.
This policy sets out what Book GCC Trip itself will refund. It works alongside our Terms and Conditions (Sections 14–16) and our Hotel Booking Terms, which describe hotel-specific conditions that also apply to your stay.
Every booking made through Book GCC Trip is non-refundable as a matter of platform policy — this applies regardless of any cancellation window, "free cancellation" wording, or refundable/flexible rate description that may appear on a hotel or rate page, and it applies from the moment your booking is confirmed.
This is a deliberate, platform-wide rule we apply to every booking, not a decision made case by case by the hotel, by a member of our team, or by an automated system. No refund is issued for a change of mind, a missed flight, illness, a visa issue, weather, or any other circumstance except the two exceptions described in Section 3 below.
We strongly recommend purchasing independent travel insurance before you travel, to protect yourself against cancellations, delays, or changes of plan that this policy does not cover.
You can cancel a booking at any time from My Bookings while signed in, or by contacting Customer Support with your booking reference. Cancelling a booking stops the reservation and, where relevant, notifies the hotel that you will not be arriving — but cancelling does not, on its own, entitle you to any refund. See Section 1.
If you believe your circumstances fall within one of the two exceptions in Section 3, cancel the booking first (or contact us before travel dates pass, if cancelling would prevent you from providing evidence) and then submit your exception request as described in Section 4.
A refund may be approved — never guaranteed, and always requiring review by the Book GCC Trip platform owner — only in one of these two circumstances:
A government-declared natural disaster, war, pandemic-related travel ban, or legal mandate that actually prevents travel to your destination during your travel dates. You will need to provide:
Force Majeure requests are typically reviewed within 48 hours of receiving complete documentation.
The hotel you booked permanently ceased operations after your booking was confirmed. Temporary closure, renovation, or partial closure does not qualify. You will need to provide:
Hotel Permanent Closure requests are typically reviewed within 24 hours of receiving complete documentation.
To request review under one of the two exceptions, contact Customer Support at support@bookgcctrip.com with your booking reference, the exception you believe applies, and the supporting documentation listed in Section 3. We will log your request and it is escalated to the platform owner — the only person authorised to approve a B2C refund exception. No member of our support team, hotel, or automated system can approve a refund outside this process.
You will be notified of the outcome once reviewed. If approved, the refund is processed as described in Section 6. If declined, we will explain why, and you may ask for the decision to be reconsidered if you can provide further evidence.
The non-refundable policy in Section 1 applies to cancellations initiated by you. It does not apply where the hotel itself cancels or refuses to honour your confirmed booking — for example due to overbooking or an operational issue on the hotel's side, and no comparable relocation is offered or accepted. In that case you are entitled to a full refund of amounts already paid to us for that booking. We will notify you as soon as we are informed by the hotel, and process the refund without requiring the exception-review process in Section 4.
Where a refund is due — under Section 3's exceptions or Section 5's hotel-initiated cancellations — it is returned to the original payment method used at checkout. Our own review is typically completed within the timeframes in Section 3 (or promptly, for Section 5). After approval, your bank or card issuer may take additional time — commonly around 5–10 business days — to post the funds to your statement; that additional time is your bank's processing time, not ours, and we do not control it.
Not arriving for a confirmed booking, or checking out earlier than your booked departure date, does not create a refund entitlement — the non-refundable policy in Section 1 continues to apply, and neither circumstance falls within the two exceptions in Section 3 on its own.
A date, room, or guest-count change to an existing booking is a new booking request against the hotel's current availability and rate. If making the change requires your original booking to be cancelled, the non-refundable policy in Section 1 applies to that original booking — we recommend confirming this with Customer Support before requesting a change if the outcome is important to you.
If you believe a charge is incorrect, please contact us first at support@bookgcctrip.com so we can investigate and resolve it directly — this is almost always faster and more effective than a card chargeback. If a chargeback is filed against a booking that was made and confirmed in line with this policy, we will respond to the payment service provider handling the dispute with the booking record, this policy, and evidence that you accepted it at checkout.
